The VET Gecko Platform

The suite of products that make up the VET Gecko platform have been developed over the past decade to focus on reducing administrative tasks and improving learning outcomes in the VET sector. A key part of the process is understanding the day to day activities of the RTO client's internal business process and then mapping out a development agenda to assist in high need areas.

During the past decade the system has enrolled more than half a million students online and our client receipts are in excess of $60m. On a monthly basis we have more than 50 thousand student learners. The platform is designed to grow to suit our client's needs and caters as easily with a one person operation as it does with our current largest client's need to support 500 students learning online simultaneously.

Integration

The VET Gecko team has assisted various student management systems in developing their web connectors, Vettrak, Wisenet, Jobready, EnquiryMate, Tutis and others. While each Student Management System has it own commitment to their API and  differing levels of integration with our functionality, VET Gecko remains committed to 100% integration with all SMS providers and the largest integration footprint possible.

Support of mobile devices

VET Gecko identified the mobile requirement very early in the platform's development. We quickly took the view that while Apps represented a significant opportunity, a platform that worked equally well on desktop, laptop, tablet, iPad and mobile was the way forward. Since 2010 our platform has been mobile friendly AND we have Apps in GooglePlay and the App Store. With up to 40% of website interaction occurring via mobile device, the need is clear and the platform delivers in all areas.

Branding is all about you

Your brand on the Internet is critical, your domain name and web address of your services need to be seen to be unique to your RTO. Unlike most other systems our platform is delivered under your web address, not ours. If you choose to have an app you are able to have your icon and name in the various app stores, not ours.

What's in the Box?

The platform includes in various configurations the following product sets:

VET CMS - a VET optimised content management system for website building and maintenance. Search Engine Optimisation and management tools are available on every page. Whether you use it or not, VET CMS underpins the entire VET Gecko platform.

VET API - an online enrolment system for both public and private courses, short courses and qualifications with compliance a priority in every aspect. Funding eligibility wizards, AVETMISS collection, USI creation and recording. Informed consent is not left to chance with information on classes, units, locations and pricing built in. Notifications inform students while reducing administration load, while acceptance of terms and conditions and confirmation of access to the learner's guide are recorded against each student enrolment. Payment mechanisms include credit card, a deposit, invoice my employer, invoice me and VET Fee Help. Credit card payment plans are built in and automatic based on your settings.

Integration with CRM forms, Google Analytics and AdWords integration is built in and user managed.

VET Campus

Students log in and see their classes, meetings and assignment due dates (VET LMS). They are able to download their learning resources, change their details in the client profile, upload prerequisite documents for verification, message their trainer, or when enabled, book on another course. They are able to view their learning history and the results stored in the SMS and comment on assessment. All interactions are recorded in the archive and recorded back to the SMS.

Trainers log in to view classes, meetings and their own learning resources. They mark attendance and provide assessment. Skype integration allow video calls and messaging. An email and SMS interface make communications with students easy. The client notes field, the student profile and enrolments are all in easy reach along with key metrics and measures on their performance, and reports identifying students that are at risk or need further support.

The Admissions team are able to enrol students online, select the pricing from the available price types, take payment and send notification. The admin team are able to verify documents provided during the registration process with acceptance, rejection and resubmission workflows incorporated as well as archiving and history notes. These features reduce the need for full SMS access and may positively impact licences fees on systems where a per user levy is charged by the vendor.

The Employer's portal provides a view of students who are associated with an employer in the SMS. Often the employer functionality is used by JSA and marketing bodies. The employer entity may also add new employees and book them on training courses with billing handled later. A landing page can be customised to show the Employer logo and have an employer web address.

The Agent portal allows independent agents or companies to recommend your courses to their customers and for that recommendation to be recorded for commission purposes.

The Training Manager portal provides the functionality of the other portal views with the addition of visibility for forward training bookings and provides an occurrence health report. At a glance it is easy to see the booking progress, where registrations are low or when new occurrences need to be created. There is also visibility to reports and charts showing trainer performance, to identify trainers that may not be performing effectively or are over utilised.

VET CRM

This new add-on to the VET Gecko platform is a fully functional CRM built specifically for the VET space. Manage sales and follow-up tasks, collection and verification of documents, prerequisites including eligibility checks, AVETMISS data, USI, payment and LL&N ... its easy to use and mobile friendly!

VET LMS

The award winning LMS in the product suite is simply unique. The Dynamic cohort management functionality leads the way in optimising trainer resources and minimising administration and course management tasks.

If the student is enrolled in courses that have online pre-reading, online learning or assessment they will automatically receive a notification and access to their learning without any manual action.

If a trainer is associated with an occurrence that has online learning they they will receive the marking notifications and alerts unless you opt to have a subject matter specialist mark an assignment.

Multiple cohorts, including trainers, use the same online learning course, resources, group discussions and forums without knowing the other exists.

Assessment due dates and alerts (email and SMS) are automated to stimulate learning and on-time delivery of assignments and assessments.

A single course means less maintenance, more consistency in assessment and much lower risk of compliance issues. Course modules and entire courses may be shared to other courses or programmes to further reduce maintenance and updates of learning content.

Students At Risk: Another unique aspect of the VET LMS is identifying students at risk. We have created more than 20 metrics to inform the trainer where students need to focus their resources, this leads to higher completion rates and optimisation of trainer/student load. We even track student load so training managers are informed on resource pressure points.

VET AI - Leon Process Automation

Leon is the quiet achiever, VET specific AI (artificial intelligence) that completes many important and labour intensive tasks while your team focuses on more proactive aspects of RTO management - customer satisfaction, learner engagement, learning outcomes.

Leon has customisable workflows to encourage system users to complete tasks. Each communication in a sequence, is different and personalised with a call to action. AI interaction are by email or text message or a combination of both. When the system user completes the task Leon's job is done and no more reminders are sent. And the best part about Leon is that you only need to define the task once, deploy it and runs automatically until you deactivate it - no holidays or weekends off!
