VETtrak: The Refresher Course Problem

Most RTOs in areas such as Fork Lift training for example will schedule one training course and include both newbies and refresher students in the theory session which might finish with an assessment at lunch time and for the refresher student while the newbies will continue on for the rest of the day.

Let’s say there are 10 places in the class. In VETtrak you create one occurrence for the refresher with 5 places and another 5 places for the newbies course. As simple as this sounds, it isn’t.

What if you want to enrol 7 refreshers and 3 newbies? You can’t without making a change in VETtrak.

The student records system either views these as two separate occurrences or as one occurrence; if it is two then the numbers are hard to manage i.e student for one version might be turned away because the course is full while there may actually be places available in the other occurrence. Having both in one occurrence means the reporting is incorrect and ASQA or whomever will cause you grief!

Luckily the VET Gecko team have come up with an innovative solution – the Virtual Programme. We create a refresher Occurrence for the morning with 10 places in it and a newbie occurrence in the afternoon for 5 students and we manage the number for you … and the pricing too.
