Where did the holidays go? It is that time of the year again – VETtrak major release and the normal rules apply:
- Don’t upgrade to VETtrak 4.4.1 without us or your website will break!
- The Cherry release to match VETtrak and the new API will be out on Thursday next week – 23rd January.
- We need to liaise with either your IT team or OzSoft in terms of the upgrade.
- Please book your API and VETtrak update in with Troy as soon as possible via email to troy@jwgecko.com
- Custom code: AVETMISS 7 is a major change and so we ask that once the release is done you be especially careful in completing a test enrolment.
There will be issues with custom code that is not covered by annual software maintenance
This is a maintenance release: Our major product update release will be in two to three weeks, although as I write it is looking quite large.
We will remind you about the release and confirm the time early next week. IN the meantime if you have any queries and concerns then please let Troy or Sascha know.

Enhancement
- Item manager tree now shows menu name instead of page title and is more space efficient!
- If logging in, clear any existing session on same IP to prevent simultaneous log in error – Every experience an issue when you closed a browser window without logging out? Now you don’t need to worry!
- Improve messages around log in – We have done a complete review of logging in processes and you wont notice the changes which is what we are aiming for i.e. smooth intuitive responses.
- UI enhancements for site config, including filtering and sorting – just a Christmas tidy up but it all make a difference.
- HTML Editor compatibility updates for IE 9 and 10 – So many browser release so little time, another tidy up.
- Improved help system for admin pages – more on this in our major release, all I will say is you will like this a LOT!

New Feature
- Literacy and disability notifications now enabled by default for enrolment – covered by separate email, Compliance Managers will love it!
- Improvements for form layout and functionality on enrolment – Tidies, easy to read, better help, more intuitive when data is missed, just a whole lot better based on YOUR input and the team’s know-how AND there is a lot more to come.
- New functionality to speed up enrolment for returning students – Simply add your log in and password and Wham! there is your data.
- New functionality for configuring programme actions – You can now Enrol in an Occurrence or Waitlist on an Occurrence. This is especially useful when funding requirements need to be satisfied.
- Notifications now available for Waitlist enquiries – Since we added and extended our WaitList functionality it has become it has become very well used and once again we have extended it. The functionality allows you to allocate a waitlist to a specific opccurrence – very cool!
- Support for occurrence level delivery specifiers and rolling enrolments – Do you deliver the same Programme with different delivery methods and need to promote them on one page on your website? Yes, we can do that too! We use the enrolment type on the Occurrence in VETtrak to provide variation on the enrolment mechanism and the delivery type. Yes it is a little complicated but very very powerful!
- Occurrence colours on the calendar – are you bored with the occurrence calendar on your website? Would you like to have different colours for each delivery method and change them yourself? Now you can!
- Option for activation process for new users to VET Campus – smoother new client process that is safe, secure and easy to use. This is a part of the logging in enhancement above.
- Many improvements to VET Campus for showing enrolments, contract, unit enrolments and more – this is part of a major release and we have decided to “show you” what we are doing in the way Google does when it is developing new products. VET Campus users will notice [best] on some menu items. If you would like us to hide these once you and your team have had a change to review them then please let us know.
- The Employer’s Portal in VET Campus has had a significant overhaul with a lot more data visible – use one of your Employers Logons to see the extra data.
- Inline viewing of docs in VET Campus – it makes sense doesn’t it? When you open any of the documents for students, trainers and staff you can now read them inline in VET Campus.
- Can now specify ‘banner’ content for VET Campus home page for status / maintenance / promo messages – Easier to broadcast messages on the VET Campus Home Page e.g. Maintenance, Happy Australia Day etc.
- Option for new team enrolment feature in VET Campus- We now have a verison of VET Camus for Enterprise RTROs

- VETtrak 1.5.0.2 API support, Updates to enrolment for latest VTG requirements, Updates to enrolment for AVETMISS 7
- Better management of virtual programmes and improved display to aggregate classes and units – if you dont know about Virtual Programmes then please ask Troy or Sascha – great for packaging up content.
- Alternative options available for how occurrences overlap for virtual programmes
- Improvements to handling notifications and checking on API outages
- Improvements to timeout warnings and messages in VET Campus
- Programme enquiry content now has limited merge fields support – this extends Waiter support
- Option for ordering programmes for display – Now you can order menu items on your site based around commercial priorities not the order in VETtrak
- Better support for where class locations may vary from the class occurrence location
- Improvements for providing assessment in VET Campus
- New sender merge scope on VET Campus messaging
- Images in VET Campus now lazy loaded for better page load speed
- VET Campus template optimised for load time and download size
